Firm Settings · Module 35

Organisation

Manage the firm's workspace — create organisations, invite team members, assign roles, and control who has access to what.

Overview

The Organisation module is where the firm's account structure is defined and managed. FRITH supports multiple organisations under a single account — useful for firms with separate practice entities, boutique offices, or referral networks operating under a shared FRITH subscription. Each organisation has its own data namespace: matters, clients, billing records, and documents are scoped to the organisation and not visible to members of other organisations in the same account.

Within each organisation, access is controlled by role. The four roles — Owner, Admin, Member, and Viewer — determine what each team member can see and do. Invitations are issued by email; invited members receive a join link and set their own password. The Organisation page also handles member offboarding, role changes, and access revocation.

Member Roles

Owner

Full access to all organisation features. Can manage billing and subscription, delete the organisation, and modify the Danger Zone settings. The Owner role is assigned to the person who created the organisation and can only be transferred deliberately — not accidentally. There is always exactly one Owner per organisation.

Admin

Elevated access for practice managers and senior partners. Can invite new members, change member roles (up to but not including Owner), configure integrations, and access all firm data. Cannot access billing/subscription settings or the Danger Zone — those are Owner-only.

Member

Standard access for fee-earners and support staff. Can create and edit matters, log time, manage contacts, use the AI Terminal, and access all modules relevant to their work. Cannot change organisation settings, invite members, or access other members' private data.

Viewer

Read-only access. Can view matters, contacts, documents, and reports, but cannot create or edit any records. Suitable for external accountants, compliance auditors, or silent partners who need visibility without the ability to change anything.

Inviting a Team Member

1

Open Organisation → Members

Navigate to Organisation from the sidebar. The Members tab shows the current team. Click "Invite Member" to open the invitation dialog.

2

Enter the email address and role

Enter the prospective member's work email address. Select the appropriate role (Admin, Member, or Viewer). Double-check the role before sending — it is easier to set the right role now than to correct it after the member has set their password and started working.

3

Send the invitation

Click Send Invitation. The invitee receives an email with a join link valid for 7 days. The invitation appears in the Pending Invitations section of the Members tab until accepted.

4

Monitor for acceptance

The Invitations section shows the status: Pending, Accepted, or Expired. If an invitation expires before the person accepts it, resend it from the Invitations panel.

5

Adjust role if needed after joining

Once the member has joined, their role can be changed at any time from the Members tab. Click the three-dot menu next to their name and select "Change Role." Role changes take effect immediately.

Organisation Settings

The Settings tab of the Organisation page shows the organisation's profile information:

Organisation NameThe name of the firm or practice entity as it appears throughout FRITH and in client-facing outputs (invoices, portal). Editable by the Owner.
Organisation TypeOne of: Law Firm, Corporate Legal, Solo Practitioner, or Legal Consultant. Used to contextualise AI recommendations and default configurations.
DescriptionAn optional text description of the organisation's focus or jurisdiction. Used for context in AI interactions.
Member CountThe count of active members and pending invitations is shown on the left panel next to each organisation in the selector list.
Danger Zone (Owner only)The Danger Zone at the bottom of the Settings tab contains the option to permanently delete the organisation. This action is irreversible and will permanently delete all data (matters, clients, documents, billing records) associated with the organisation. A confirmation prompt requires typing the organisation name before the deletion proceeds.

Multi-Organisation Support

FRITH supports multiple organisations under one account. The left panel of the Organisation page shows a list of all organisations the user belongs to, with their member and workspace counts. Click any organisation in the list to switch context to that organisation — all modules (Matters, Contacts, Billing, etc.) will show only the data belonging to the selected organisation. Creating a new organisation from this panel sets up a fresh namespace; existing members of one organisation are not automatically added to others.

Access control principles

  • • Apply the principle of least privilege. Give members the minimum role they need to do their work. Most fee-earners only need the Member role. Admin access should be limited to practice managers and principals who actually need to configure the firm's settings.
  • • Offboard immediately. When a staff member leaves the firm, remove them from the Organisation on their last day. An active FRITH account belonging to a former employee is a security risk — they retain access to all matters, contacts, and documents until removed.
  • • Use Viewer role for external access. When sharing firm data with an external party (accountant, compliance auditor), create a Viewer-role account for them. This gives them a read-only view without any risk of accidental data modification. Remember to remove the account when the engagement ends.
  • • Only one Owner. The Owner role is deliberately scarce. Do not make multiple partners Owners to avoid conflict — use Admin for senior access. The Owner controls subscription, billing, and the ability to delete the organisation — it should be the managing partner or firm administrator only.

Frequently Asked Questions

Can the same person be in multiple organisations?

Yes. A user can be a member of multiple organisations, with a different role in each. For example, a managing partner might be the Owner of the main law firm organisation and an Admin in a subsidiary entity. They switch between organisations using the left panel in the Organisation module.

What happens to a member's data when they are removed?

Removing a member revokes their access and removes them from the member list, but does not delete any records they created. Matters, time entries, documents, and contacts attributed to them remain in the system. Their name may remain as "Created by" or "Responsible attorney" on those records.

Can I transfer the Owner role to another person?

Yes. The Owner can transfer ownership to another member from Organisation → Settings. The transfer is confirmed with a two-step prompt. After transfer, the previous Owner becomes an Admin.

What if an invited person doesn't receive the email?

Check that the email address was entered correctly. The invitation email is sent from noreply@getfrith.com — ask the invitee to check their spam folder. If the invitation expired (after 7 days), resend it from the Invitations panel in the Members tab.
