Monitor background processing tasks — AI jobs, document OCR, exports, and bulk operations.
Overview
Many operations in FRITH run in the background rather than making you wait on screen for them to finish. Generating a large AI document, OCR-processing a 200-page scanned file, exporting a bulk report, running a batch conflict check — all of these are handled by FRITH's job processing system so you can continue working in other modules without interruption.
The My Jobs module is the dashboard for all background jobs belonging to your account. It shows what is currently running, what is queued, what has completed successfully, and what has failed — with enough detail to understand what went wrong and how to recover.
Job Types
Document OCR
Optical character recognition applied to uploaded scanned PDFs and images. Makes documents text-searchable. Typically completes in 15–60 seconds per page for standard scans.
AI Document Generation
Background generation of large AI-drafted documents, complex research summaries, or multi-section documents that take longer than a few seconds.
Bulk Export
Exporting large datasets: a full matter archive, all documents for a client, or a report spanning many matters. Notifies you when the download is ready.
Conflict Check (Batch)
Running a conflict check across a large set of contacts or for a new matter with many parties. Results are compiled in the background.
Document Conversion
Converting documents between formats: Word to PDF, PDF to Word (editable), or merging multiple documents into a single file.
AI Analysis
Running AI-powered analysis tasks: document review for key clauses, contract risk scoring, case law citation extraction from uploaded judgments.
Data Import / Migration
Importing matters, contacts, or time entries from a CSV or from another platform. Large imports run as background jobs with a progress indicator.
Report Generation
Complex reports (e.g., a full-year profitability report across all matters and attorneys) that require database aggregation run as background jobs.
Job Statuses
Every job in My Jobs is displayed with one of the following statuses:
Using My Jobs
Checking job status
When you trigger a background operation (e.g., uploading a scanned PDF), FRITH shows a toast notification confirming the job has started and provides a link to My Jobs. You can also access My Jobs directly from the left sidebar at any time.
Viewing results
When a job completes, its status changes to Completed (green). Click the job to see the result: for OCR jobs, the processed document is now text-searchable in the matter's Documents tab. For AI generation, the draft document is ready to open. For exports, a download button appears.
Handling failures
If a job fails, click it to see the error message. Common causes: corrupted upload (solution: re-upload the file), AI service timeout (solution: retry — most transient failures resolve on retry), or a file too large for processing (solution: split the file into smaller parts). Use the Retry button to resubmit a failed job.
Cancelling a job
If you triggered a job by mistake or no longer need the result, click the job and click Cancel. Jobs that are already Completed cannot be cancelled, but their outputs can be deleted.
Job history
My Jobs retains a 90-day history of all jobs. This is useful for auditing: you can confirm that a document was OCR-processed on a specific date, or that a conflict check was run before a matter was opened.
Notifications for Job Completion
By default, FRITH sends an in-app notification when a background job completes or fails. You can also configure email notifications for job completion under Settings → Notifications → Background Jobs. This is useful when you have triggered a long-running export or AI analysis and want to know the moment it is ready without keeping FRITH open.
Tips for working with background jobs
- • You do not need to wait on the My Jobs page. Once a job is submitted, you can navigate to any other module and the job will continue processing. Come back when you receive the completion notification.
- • If an OCR job fails, the most common cause is a password-protected PDF. Remove the password protection from the PDF before uploading.
- • For large imports, check My Jobs periodically rather than refreshing the imports page — the job will complete whether or not you are watching it.
- • Completed job outputs are retained for 30 days before automatic cleanup. Download exports promptly.
Frequently Asked Questions
A document was uploaded but is not text-searchable yet. Why?
The OCR job is likely still queued or processing. Check My Jobs for the status of the OCR job for that document. If the job completed but the document is still not searchable, click the job to view the result — it may have failed due to the document's scan quality. Try re-uploading a higher-resolution scan.
How long do AI generation jobs take?
Simple documents (a 1-page letter) typically complete in under 30 seconds. Complex documents (a 20-clause commercial agreement, a detailed research memo) may take 2–5 minutes. If a job is still Processing after 10 minutes, try cancelling and retrying.
Can I see jobs submitted by other members of my team?
My Jobs shows only your own jobs. Administrators can view firm-wide job history from Organisation → Job Monitor, which shows all jobs across all users for operational and billing monitoring purposes.
A job has been queued for a long time. Is something wrong?
Jobs should start within seconds under normal conditions. If a job remains Queued for more than 5 minutes, it may indicate a temporary service disruption. Check the FRITH system status at status.getfrith.com. If the status shows no incidents, try cancelling and resubmitting the job.
